Founded in 2020, CPBH is a mission-driven behavioral health organization committed to transforming mental health care across California. We proudly serve over 200 clients and families annually across multiple counties, including Sacramento, Placer, El Dorado, Shasta, Siskiyou, Colusa, Sutter-Yuba, and Butte.
Our focus is on building innovative mental health facilities that offer treatment, rehabilitation, and support in nurturing, home-like environments. By collaborating with local mental health agencies, we aim to reduce hospital readmissions and improve outcomes for individuals living with mental illness.
We are seeking a highly organized and proactive Executive Assistant to provide high-level administrative and operational support to the Chief Executive Officer (CEO). This position is a key liaison between the CEO, senior leadership, and internal/external stakeholders. The successful candidate will demonstrate exceptional communication, discretion, and multitasking abilities, along with a strong grasp of business compliance, bookkeeping, and healthcare terminology.
This is a high-exposure role with growth potential into management for the right candidate.
Supervision Received:
Executive Assistant receives supervision and directions from the CEO.
Supervision Exercised:
The Executive Assistant does not provide administrative supervision to employees.
Duties:
Executive Support:
- Serve as the trusted Executive Assistant to the CEO.
- Manage and coordinate the CEO’s calendar, travel, meetings, and communication.
- Prioritize and track tasks, projects, and recommendations from the CEO and Leadership Team.
- Prepare reports, memos, and correspondence on behalf of the CEO.
- Ensure professional and timely internal and external communication.
- Represent the CEO in communications with business partners and community stakeholders.
Administrative & Operational Support
- Perform secretarial duties using Medi-Cal terminology and knowledge of behavioral health procedures.
- Schedule appointments, prepare reports, and maintain accurate records.
- Coordinate meetings, agendas, and minutes; send reminders and follow-ups as needed.
- Maintain files, databases, and documentation systems (paper and electronic).
- Assist with compiling, tracking, and submitting regulatory and compliance documentation.
- Provide general office support and manage confidential documents with discretion.
Finance & Compliance
- Collaborate with the CEO on accounting and financial matters, including budget tracking.
- Assist in bookkeeping activities using QuickBooks or similar software.
- Support business compliance efforts including audits, licenses, and regulatory filings.
- Monitor business processes and assist with maintaining internal controls.
Project & Strategic Support
- Support leadership in project planning and implementation.
- Participate in strategic discussions and provide insight when requested.
- Occasionally assist with urgent or weekend assignments related to business operations.
Required Qualifications
- Bachelor’s degree in Business Administration, Accounting, Healthcare Administration, or related field (Master’s preferred; experience may be substituted).
- 1–3 years of administrative or executive-level support experience (preferably in healthcare or behavioral health).
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Google Workspace (Docs, Sheets, Slides).
- Familiarity with bookkeeping software such as QuickBooks and basic accounting principles.
- Strong Tying skills (minimum 60 WPM with high accuracy
- Excellent written and verbal communication skills.
- Strong organizational and time management skills with the ability to prioritize effectively.
- Ability to exercise sound judgment, discretion, and confidentiality at all times.
- Must be able to pass a physical, drug screening, and criminal background check.
- Must provide three professional references.
- Will be required to sign a Non-Disclosure Agreement upon hire.
Preferred Qualifications
- Experience with Medi-Cal processes, behavioral health terminology, and California mental health regulations.
- Knowledge of California Code of Regulations related to mental health services.
- Demonstrated ability to thrive in a fast-paced, high-growth environment.
- Growth mindset and interest in leadership or management track.
